Booking, stay and facility rules
Please read these rules before booking. They set out guests’ rights and responsibilities and explain how to use the cottages, heated pool, free bicycles, fire pit and barbecues safely.
General provisions
The basic rules for staying at RELAXO Holiday Cottages Rewal.
- These rules govern booking, accommodation and stays at RELAXO Holiday Cottages Rewal, ul. Kasztanowa 18E, 72-344 Rewal, referred to below as the “Property”.
- By making a booking, the Guest confirms that they had an opportunity to read these rules and accept their contents.
- The person making the booking is responsible for informing everyone covered by the booking and any invited visitors about these rules.
- Minors may be accommodated only under the supervision of a responsible adult.
- The cottages are not rented for parties, stag or hen events, or other gatherings that may disturb other guests.
- The Guest may not sublet the cottage, transfer the booking or make the cottage available to third parties without the Owner’s prior consent.
- The number of people staying in a cottage must not exceed the number shown in the booking confirmation or the cottage’s maximum capacity.
Booking and payment
How bookings are confirmed and stays are paid for.
- Bookings may be made through the website, by telephone, by email or through an external booking platform.
- Unless the offer or booking confirmation says otherwise, confirmation requires an earnest-money deposit (“zadatek” under Polish law) equal to 30% of the accommodation price, payable within 4 hours after the payment request is sent.
- Until the earnest-money deposit has been received or the Owner has issued clear confirmation, the dates may remain unconfirmed.
- Failure to pay within the stated time may result in cancellation of the unconfirmed booking and the dates being made available again.
- The remaining balance is due by the date shown in the booking confirmation and no later than before access to the cottage keys is released.
- The price, services included, stay dates and any additional charges are stated in the offer or booking confirmation.
- A booking for accommodation on a specific date or during a specified period is not covered by the standard statutory 14-day withdrawal right that applies to some distance contracts. The cancellation terms below apply.
Cancellation and date changes
Consistent rules for the earnest-money deposit and booking changes.
- A cancellation or request to change dates should be sent by email or in another durable form that allows its contents to be retained.
- Where cancellation is notified at least 14 days before the arrival date, the earnest-money deposit is refunded in full.
- Where cancellation is notified less than 14 days before arrival, or the Guest does not arrive, the earnest-money deposit may be retained.
- Dates may be changed only subject to availability and confirmation by the Owner. Any price difference between the dates will be settled accordingly.
- Where the stay cannot take place for reasons for which the Owner is responsible, amounts paid will be settled under the applicable Polish rules governing earnest money, unless the Guest accepts alternative dates.
- Where non-performance results from circumstances for which neither party is responsible, settlement will be made under applicable law and any individual agreement between the parties.
Check-in and check-out
Stay times and the arrangements for receiving and returning keys.
- The accommodation day begins at 4:00 pm on arrival day and ends at 11:00 am on departure day.
- Instructions for accessing the cottage and key safe are sent to the Guest before arrival.
- A significant expected delay should be reported to the Owner. Failure to make contact does not automatically cancel a paid booking, but may make assistance with check-in more difficult.
- On departure day, the keys must be left as instructed and the cottage vacated by 11:00 am at the latest.
- A later check-out is possible only by prior agreement and may carry an additional charge.
Use of the cottages
Tidiness, quiet hours and proper use of the facilities.
- Cottage facilities and equipment must be used for their intended purpose and in accordance with any instructions.
- Quiet hours apply throughout the Property from 10:00 pm to 7:00 am.
- Smoking cigarettes, e-cigarettes or other tobacco products inside the cottages is strictly prohibited.
- Frying fish inside the cottages is prohibited because of persistent odours that are difficult to remove.
- A breach of the smoking or fish-frying prohibition may result in a fixed charge of PLN 300 for ozone treatment and odour removal. If the documented loss or restoration cost is higher, the Guest is liable up to the amount of the actual loss.
- Guests must maintain basic tidiness, separate waste and leave dishes and kitchen equipment in a condition allowing standard cleaning.
- Where excessive soiling requires specialist cleaning, the Guest may be charged the actual and documented additional cleaning cost.
- Any fault, damage or missing item must be reported as soon as it is noticed.
Stays with pets
Pets are welcome at no additional charge.
- Staying with a pet is free unless the offer or an individual agreement states otherwise.
- The person responsible for the pet is liable for its behaviour, any damage it causes and maintaining cleanliness.
- The pet must remain supervised and must not disturb other guests.
- Pet waste must be removed from the Property immediately.
- Pets must not enter the pool area or be left unattended where this could cause damage, noise or danger.
- The fact that the Property is fully fenced does not remove the pet owner’s duty of supervision.
Safety and supervision of children
Shared responsibility for a safe stay.
- Guests must follow fire-safety rules and safety instructions.
- Explosive, dangerous or highly flammable materials must not be stored in the cottages, except for products intended for ordinary tourist use.
- Children and anyone requiring care must remain under the continuous supervision of a responsible adult.
- Playgrounds, swings, the pool, bicycles, sports court, fire pit and barbecues must be used for their intended purposes and with appropriate care.
- In an emergency involving life or health, call 112 and then notify the Owner.
Refundable security deposit and liability for damage
A clear refund deadline and rules for any deductions.
- Where the booking confirmation requires a security deposit, it is PLN 300 for each cottage rented.
- The deposit must be paid through the secure payment link supplied by the Owner, by the deadline stated in the message and normally no later than the day before check-in.
- If a required deposit has not been paid, access to the cottage may be withheld until the matter is clarified or payment is made.
- After check-out, the cottage and its equipment are inspected within a reasonable time.
- Where no damage or other amount due is identified, the Owner initiates a full refund of the security deposit no later than 7 calendar days after check-out. The date on which the funds reach the account may depend on the bank or payment provider.
- Where there is a basis for a deduction, the Guest will be informed of the reason and amount. The undisputed part of the deposit will be returned within the same deadline.
- Actual and justified amounts may be deducted from the deposit, including for damage, missing equipment, lost keys, excessive soiling or costs arising from a breach of these rules.
- If the damage exceeds the deposit, the Guest is also liable for the remaining documented amount.
- The Guest is likewise liable for damage caused by people covered by their booking, invited visitors and animals in their care.
Rules for free bicycle use
Bicycles are an additional complimentary facility for guests.
- Bicycles at the Property are made available only to guests who are currently staying there, at no additional charge.
- The number of bicycles is limited. They are offered subject to availability and are not a guaranteed part of a booking.
- Before riding, the user should check the bicycle’s basic condition, particularly the brakes, tyres, handlebars, saddle and lights. A fault must be reported and a defective bicycle must not be used.
- The user must select a bicycle suitable for their height, ability and health and ride in accordance with road-traffic rules.
- Use of a properly fitted cycle helmet is recommended. The user should ensure they have equipment appropriate to the planned route and time of day.
- Minors may use bicycles only with the consent and under the responsibility of a parent or guardian. Young children may ride only under direct adult supervision.
- Anyone under the influence of alcohol, drugs or medication that impairs safe riding must not use a bicycle.
- A bicycle must not be handed to a person who is not staying at the Property, used for stunt or extreme riding, loaded contrary to its design or left unsecured.
- After use, the bicycle must be returned to the designated place, secured and left in no worse condition, allowing for normal wear and tear.
- The user is liable for loss or damage resulting from deliberate conduct, gross negligence or use contrary to these rules.
- The Owner may temporarily withdraw a bicycle for technical, safety or maintenance reasons.
Rules for using the heated pool
The outdoor pool is unsupervised and has no lifeguard.
- The pool is for guests staying at the Property only and is provided free of charge.
- The pool is unsupervised and has no lifeguard permanently present. Every user must exercise particular care.
- The planned operating season is from 1 May to 30 September. These dates may change because of weather, temperature, maintenance, water quality, breakdown or safety considerations.
- The heat pump may be set to approximately 28°C, but the actual water temperature depends on weather conditions and is not guaranteed.
- Children, non-swimmers and anyone requiring assistance may use the pool only under the direct and continuous supervision of a responsible adult.
- Before entering the pool, users must rinse their bodies and remove dirt that could adversely affect water quality.
- Running around the pool, jumping into the water, pushing others and dangerous games are prohibited.
- The pool must not be entered in footwear or with glass, sharp objects, food, drinks or equipment that could damage the pool lining.
- Anyone under the influence of alcohol or drugs must not use the pool.
- The pool must not be used by anyone with an infectious illness, visible skin infection, open wound or a condition that could contaminate the water.
- Animals must not enter the pool or the immediate area next to the pool basin.
- Any fault, contamination or dangerous situation must be reported to the Owner immediately, and pool use must stop.
- The Owner may temporarily close the pool for technical, sanitary, weather-related or safety reasons.
- Anyone who contaminates or damages the pool by breaching these rules is liable for the actual and documented cost of restoring it to proper condition.
Rules for using the fire pit and barbecues
Rules for the safe use of open fire.
- The fire pit and barbecues are for guests staying at the Property only and may be used only in the designated places.
- Only wood, charcoal or purpose-made briquettes may be used. Petrol, methylated spirits and other dangerous substances are prohibited.
- Rubbish, plastic, glass, waste or materials that may release toxic substances must not be burned.
- A fire must never be left unattended and must be fully extinguished after use.
- Children may remain near the fire pit or barbecue only under direct adult supervision.
- The fire pit and barbecues must not be used during strong wind, drought or other conditions that increase the risk of fire.
- Hot fat, ash and cigarette ends must not be poured or scattered onto grass, terraces or wooden surfaces.
- Barbecues and parts of the fire pit must not be moved away from their designated places.
- The area must be left clean and food remains and waste placed in the appropriate bins.
- The Owner may temporarily prohibit fire use because of weather, fire-safety rules or a safety risk.
Owner’s liability
The extent of liability under applicable law.
- The Owner is responsible for proper performance of the agreement under applicable law.
- The Owner is not liable for events resulting solely from an act or omission of the Guest, anyone under their supervision or a third party for whom the Owner is not responsible.
- The Owner is not liable for the effects of force majeure or independent events that could not have been foreseen or prevented despite reasonable care.
- Guests should secure their belongings appropriately and must not leave valuable property unattended.
- These provisions do not exclude or restrict the Owner’s liability where such exclusion or restriction would be unlawful.
Complaints and dispute resolution
A clear way to raise concerns without imposing the Owner’s local court.
- Faults and non-conformities relating to a cottage or service should be reported as soon as possible so that they can be addressed during the stay.
- A complaint may be sent to booking@domki-relaxo-rewal.pl and should include the booking details, a description of the situation and the requested solution.
- Complaints are handled without undue delay, normally within 14 days after a complete submission is received.
- The parties will first seek an amicable resolution.
- Where an amicable solution is not possible, the dispute may be referred to the court having jurisdiction under generally applicable law. These rules do not restrict the Guest’s statutory consumer rights.
Final provisions
When the rules apply and how serious breaches are addressed.
- Serious or repeated breaches, creating danger or materially disturbing other guests may lead to a request to stop the conduct, restriction of access to a facility and, in extreme cases, termination of the stay.
- Termination for reasons attributable to the Guest does not remove the duty to pay for services already used or liability for damage caused. Any settlement of the unused part of the stay will be made according to the law and the circumstances of the particular case.
- Changes to these rules apply to bookings made after publication. Changes necessary for safety may also be introduced during a stay to the extent required to protect guests and property.
- Matters not covered by these rules are governed by generally applicable Polish law.
